RFP B2c Promotional campaign for Central Europe in China – Q&A

Below is the list of questions and answers about this request for proposals.

Influencers are expected to stay a minimum of four (4) days per destination. However, the final itinerary and duration of stay will be discussed and agreed upon with the selected contractor during the planning phase, taking into account content needs, logistics, and storytelling opportunities.

Meals and local activities are included within the land arrangements and will be covered and organised by the Partners.

In principle, one additional person per influencer is foreseen to support with content production (e.g., as a photo/ videographer or appearing in couple-focused content). Specific needs will be reviewed case-by-case and confirmed with the selected contractor during the itinerary planning phase.

In principle, the two influencers assigned to each itinerary will follow the same programme. However, minor adjustments may be considered to accommodate individual content styles or logistical needs, in coordination with the contractor and Partners.

Priority should be given to influencers who already hold a valid Schengen visa to ensure smooth and timely travel arrangements. However, support for the visa applications can be provided if needed.

Yes, the document shared alongside the Technical Specifications is a draft contract open to discussion and amendment. There is no fixed process; any necessary adjustments will be discussed during the kick-off call with the awarded contractor.

The draft contract shared with the tender documentation is open to discussion. Concrete amendments can be discussed during the kick-off call following the contract award.

As outlined on page 20 of the Technical Specifications, the rule limiting participation to a single proposal applies only to the prime economic operator. Non-prime entities, such as subcontractors (including any of the OTAs referenced in the Technical Specifications), may participate in multiple proposals submitted by different prime contractors.

However, if any part of the work is to be subcontracted, the prime contractor must clearly identify the subcontractor(s) in their proposal and specify the tasks and deliverables to be outsourced. All costs related to outsourcing shall be borne by the prime contractor, who remains solely responsible for the delivery and quality of the outsourced work. Please note that subcontracting or outsourcing of activities to subsidiary companies of the prime contractor is not permitted.

The 25-page limit applies to the main proposal document, which should include the description of the project team and methodology, the company profile, and the economic offer. The European Single Procurement Document (ESPD) and reference projects are to be provided separately in the annexes and are not counted within the 25-page limit.
