Below is the list of questions and answers related to this Request for Proposals.

The detailed itinerary, travel dates, duration and travel arrangements will be agreed with the selected Contractor during the kick-off meeting in collaboration with ETC and the partners. Contractors are expected to propose an appropriate methodology and make reasonable assumptions for the purposes of their proposal.

Contractors are expected to propose an appropriate creative approach and storytelling methodology in line with the objectives of the Request for Proposals. Detailed campaign messages, featured experiences, content validation procedures and supporting assets will be agreed with the selected Contractor during project implementation. Where available, ETC and the partners may provide destination assets following contract award.

Contractors are expected to propose a media amplification strategy in accordance with the requirements of the Request for Proposals, including the recommended channels, targeting approach and proposed use of paid media. The detailed implementation arrangements, including the accounts used for paid promotion, will be agreed with the selected Contractor during project implementation.

Each proposed influencer shall produce at least four original social media posts. Cross-posting the same content across multiple platforms does not count as additional original posts.

Contractors may distinguish between guaranteed KPIs, estimated organic performance and forecast paid media results, provided this distinction is clearly explained.

For evaluation purposes, engagement rate shall be calculated using the methodology defined in the Request for Proposals.

Contractors should submit realistic cost estimates based on the information available at the time of preparing the proposal. Cross-border transport within Europe should be included in the Contractor’s budget. The budget table included in the Request for Proposals is illustrative. Contractors should retain the three mandatory budget categories while adapting the detailed breakdown to their proposed methodology. Reimbursement will be based on actual eligible costs supported by invoices, within the maximum approved project budget.

Contractors should describe an appropriate validation process within their methodology. The detailed approval process, including review rounds and stakeholders involved, will be agreed with the selected Contractor during project implementation.

Contractors may propose additional accompanying personnel (e.g. videographers or support staff) or optional services where they consider these relevant to the successful delivery of the project. Such proposals should be clearly justified, reflected in the methodology and budget, and will be subject to ETC and the partners’ approval.

The Annex 1 reference forms are considered annexes and therefore do not count towards the 20-page proposal limit.

Yes. ETC and the project partners will provide reasonable assistance, where required, with the visa application process for the selected KOLs.
